The process of obtaining a student visa for Japan is a structured and carefully regulated procedure that requires proper planning, accurate documentation, and timely submission. The first and most important step in this process is securing admission to a recognized educational institution in Japan. Students must apply to their chosen school, college, or language institution and receive an official offer of admission. Once admission is granted, the Japanese institution applies for the Certificate of Eligibility (COE) on behalf of the student. The COE is issued by the Japanese government and confirms that the applicant meets the legal requirements to stay in Japan for study purposes. This document is mandatory for the student visa application and serves as the foundation of the entire visa process.

After receiving the Certificate of Eligibility, students must prepare all the required documents for visa submission. These documents generally include a valid passport, recent passport-sized photographs, the original COE, proof of Japanese language proficiency or evidence of passing a recognized Japanese language examination, and other supporting documents as requested by the Embassy of Japan in Nepal. Since visa decisions are based heavily on document verification, it is essential that all information provided is accurate, complete, up to date, and consistent across all documents. Even minor discrepancies can cause delays or additional verification requests, so careful preparation is crucial at this stage.

Once the documentation is ready, students must complete the student visa application form with clear, correct, and legible information. The application form is available through official channels, including the Embassy of Japan in Nepal and the VFS Global Japan Visa Application Center in Kathmandu. Filling out the form correctly is extremely important, as incorrect or incomplete information may result in processing delays or rejection. After completing the application form, students are required to book an appointment in advance, as the Embassy of Japan has authorized VFS Global to handle visa application submissions on its behalf.

On the scheduled appointment date, students must visit the Japan Visa Application Center at VFS Global in Kathmandu to submit their visa application. During the submission process, applicants are required to present their passport, completed visa application form, Certificate of Eligibility, and all supporting documents in the required format. Applicants must also pay the applicable visa fee and service charges at the center. Once submitted, the application is forwarded to the Embassy of Japan for further review and assessment.

After submission, the visa application enters the processing stage. In most cases, visa processing takes approximately six working days from the date of submission at VFS Global. However, processing times may vary depending on the applicant’s profile, document verification requirements, and workload at the Embassy. In some situations, the Embassy may contact the educational institution in Japan for additional confirmation or request further clarification. In rare cases, visa processing may take more than two months, which is why students are strongly advised to apply as early as possible to avoid last-minute complications.

Once the visa application is approved, students will be notified to collect their passport from the Japan Visa Application Center at VFS Global in Kathmandu. The approved student visa will be affixed to the passport, officially granting permission to enter Japan for study purposes. After receiving the visa, students can proceed with flight booking, pre-departure preparations, and final arrangements for accommodation and travel.
